    We are currently seeking an Executive Administrative Assistant to act as the point of contact between the Members of Executive team and internal/external clients. Undertake the tasks of receiving visitors, incoming calls, taking messages and routing correspondence. Make travel arrangements for employees and handle requests and queries appropriately.



    Essential Functions/Job Duties:

    Act as the point of contact between the Members of Executive team and internal/external clients

    Undertake the tasks of receiving visitors, incoming calls, taking messages and routing correspondence

    Handle requests and queries appropriately

    Maintain schedule, arrange meetings and appointments and provide reminders

    Make travel arrangements for employees

    Generate meeting minutes as instructed and accurately enter data

    Monitor office supplies and research advantageous deals or suppliers

    Produce reports, presentations and briefs

    Develop and carry out an efficient documentation and filing system

    Review and forward initial expense reimbursement request within Costpoint

    Other duties as assigned


    Equipment Used: Standard office equipment and tools to include, but not limited to PC, laptop, copy/fax machine, scanners, telephone and audio/visual equipment.


    Typical Working Conditions: General office environment


    Essential Physical Tasks: Ability to sit at a desk for extended periods of time, using computer, keyboard and mouse. 


    Written Communications: Demonstrates excellent (clear and concise) written communication skills, with the ability to produce professional written documentation in e-mail messages, letters, and other correspondence. Generates schedules, reports, meeting agendas and/or other various administrative documentation. 


    Verbal Communications: Demonstrates excellent clear and concise verbal communication skills. 




    Skills / Qualifications:

    5 years experience as an executive administrative assistant, senior executive assistant or other secretarial position.
    Full comprehension of office management systems and procedures
    Excellent knowledge of MS Office (MS Excel, MS Outlook, and Power Point)
    Proficiency in English
    Exemplary planning and time management skills
    Up-to-date with advancements in office devices and applications
    Ability to multi-task and prioritize daily workload
    Professional phone manner.
    Discretion and confidentiality


    Customer Interface Activities: Professional inter-personnel and customer service skills required to interface with corporate customers and employees.


    Project Management: Able to efficiently adapt to new priorities. This includes effectively multi-tasking various responsibilities with an awareness to support changes as needed.

    Minimum Education Requirements:
    High School diploma or GED.



    U.S. Citizenship is required


    Security Clearance:


    Candidates must have an active clearance OR  the ability to obtain a US Government security clearance, and will be subject to a US security background investigation (i.e. favorable background investigation / credit score). Additional eligibility requirements for access to various levels of classified information may also be required. An active security clearance is highly desirable.
